Event Objective

Our main objective is to showcase Autobotz Esports as the most active, engaging, and family-inclusive team at Gaming Thiruvizha. By doing so, we aim to attract significant sponsorship opportunities.

  • Brand Promotion: Distributing 500 free tickets & 200 jerseys to ensure our brand is everywhere.
  • Engagement: Hosting 1v1 mobile gaming battles for youth and board games for parents.
  • Big Giveaway: Offering the Autobotz Tours & Travels International Trip Giveaway to maximize brand promotion and excitement.

Official Participant Rules

Ticket & Branding

  • Each participant receives one free entry ticket.
  • The first 200 participants receive an official Autobotz Jersey.
  • Wearing the Jersey, Headband, or Wristband is mandatory and required for giveaways.
  • Failure to wear branding will result in disqualification.

Giveaway Requirements

  • Participants must engage in at least one gaming activity.
  • Must visibly wear Autobotz branding throughout the event.
  • Post at least one photo/video on social media with required tags:
    @autobotz_esports, @autobotztouring, and #AutobotzTakeover.
  • Check in at the Autobotz Booth for final eligibility verification.

  • Board Games: Chess Blitz, Carrom, Ludo, Uno, Connect 4, Scrabble Mini, Checkers, Dominoes
  • Activity / Fun Games: Dart Board Challenge, Ring Toss, Mini Bowling, Jenga, Spin the Wheel, Memory Card Flip
  • Family Duo Games: Parent & Kid Quiz, Guess the Movie/Game, Pass the Ball

Event Staff Structure

Core Team (5 People)

  • Event Manager (You):
    • Overall command of the event
    • Liaison for sponsors and Gaming Thiruvizha organizers
    • Handles last-minute issues, emergencies, and escalations
    • Ensures every team member follows the timeline
  • Operations Lead:
    • Manages entry ticket distribution and branding (jerseys, headbands, wristbands)
    • Oversees booth setup (tables, banners, giveaways)
    • Tracks supplies (tickets, jerseys, wristbands, merchandise)
    • Coordinates with support team on crowd flow
  • Gaming Lead:
    • Designs gaming brackets and schedules
    • Assigns referees to each match
    • Ensures fair play and rule enforcement
    • Troubleshoots gaming tech with Tech Support
  • Parent Zone Lead:
    • Sets up board games and family activities
    • Assigns staff to guide parents/kids
    • Keeps activities engaging with announcements and prizes
    • Ensures parents have a positive, inclusive experience
  • Marketing & Media Lead:
    • Guides photographers/videographers for best coverage
    • Approves Instagram stories and live updates
    • Tracks hashtag usage and online engagement
    • Collects photos/videos post-event for sponsors

Support Team (15 People)

  • Registration & Branding (3 staff):
    • Verify ticket eligibility at entry
    • Issue wristbands/headbands/jerseys
    • Enforce branding rule (mandatory Autobotz branding for giveaways)
  • Gaming Arena (5 staff):
    • 4 Referees: Run matches, record results, maintain discipline
    • 1 Tech Support: Handle devices, network/WiFi, chargers, troubleshoot game crashes
  • Parent Zone (2 staff):
    • Act as game hosts (explain rules, encourage participation)
    • Keep score for board games and fun activities
    • Assist Parent Zone Lead with managing queues
  • Booth & Giveaway (2 staff):
    • Manage merchandise table (caps, wristbands, goodies)
    • Track giveaway eligibility (ticket, branding, social media post)
    • Assist during International Trip Giveaway announcement
  • Media & Instagram (3 staff):
    • 2 Photographers: Capture matches, crowd, giveaways, parent activities
    • 1 Instagram Story Uploader: Post real-time updates, tag sponsors, share reels/stories
